This Privacy Policy is issued by TKACHUK-YAPPAROVA BALLET STUDIO INC., an Ontario corporation operating as T&Y Ballet Studio (“we”, “us”, “the Studio”). It explains how we handle personal information about students, parents, guardians and visitors when you use tyballet.studio, contact us, register for classes or take part in Studio activities.
At a glance
- What we collect: contact details, the student details we need for placement and enrollment, payment records, and limited website data.
- Why: to answer you, place and teach students, run classes and performances, take payment, and keep the records the law requires.
- Who else handles it: WellnessLiving (our registration and payment platform), Nuvei (card payments), Google Analytics, our email and website providers, and the other providers listed in section 7. Some of them store data in the United States.
- Children: a parent or guardian provides information and permissions for students under 13, and normally for all students under 18.
- Your choices: public use of photos is covered by a separate permission; you can ask to see or correct your information at any time.
1. Who is responsible
Our Privacy Officer is accountable for how we handle personal information.

2. Information we collect
| Where it comes from | What we collect |
|---|---|
| Website inquiry form | Name, email, phone number and your message |
| Registration and enrollment | Student name and date of birth, program and level, attendance, emergency contact, signed agreements and permission forms |
| Payments | Purchase history, amounts and payment status. Card payments are processed by Nuvei through WellnessLiving; we do not see or store full card numbers. |
| Registration note (optional) | A short note about any physical limitation or illness relevant to safe participation — see section 5 |
| Photos and video | Images from classes, rehearsals, performances and competitions — see section 6 |
| Chat with CAASI | What you type in the chat and the chat record — see section 9 |
| Website | Device and browser type, pages viewed, approximate location based on IP address, and cookies — see section 10 |
We ask for date of birth to place each student in the right age group.
3. How we use information
We use personal information to answer inquiries; arrange trial classes and evaluations; decide class placement; run classes, schedules, attendance, performances and competition entries; process payments and issue receipts; send essential messages about classes and events; respond to safety and accessibility needs; keep business and tax records; and understand how our website is used so we can improve it. We send promotional messages only as described in section 11.
We do not sell personal information.
4. Children and guardians
Many of our students are minors. For students under 13, a parent or legal guardian provides the information and gives every consent. For students aged 13 to 17, we normally work through a parent or guardian; when a teen contacts us directly, we explain our practices in plain, age-appropriate language. We collect only what we need, and our website form is meant to be completed by a parent, guardian or adult student.
5. Health and safety information
When registering, a family may add a short note about any physical limitation or illness we should know about so the student can take part safely. The note is optional: the parent, guardian or adult student decides whether to share anything, and we use it only for the student’s safety in class. Teachers do not have access to this note in WellnessLiving; if a family wants a teacher to know about something specific, such as an injury, the family can tell the teacher directly. Please do not send medical details through the website form or the chat.
6. Photos and video
We take photos and video in classes, rehearsals, performances and competitions for teaching, feedback and communication with families. Public use — on our website, social media, printed materials or advertising — is covered by the separate photo and video permission form signed by a parent or legal guardian (or the adult student). Signing it is not a condition of enrollment. When we publish images of minors, we do not add their full name unless the family has agreed.
The permission form is completed at registration. If the family does not tell us within seven days of registration that it objects, we rely on the signed permission and may publish photos and videos of the student.
You may still contact us at any time to withdraw permission for future use, subject to legal and contractual limits. We will then stop using images of your child in new materials and take reasonable steps to remove them from our website and our own social media accounts. We cannot recall materials that have already been printed, distributed or shared, or copies that other people have saved.
Our photographers and videographers work under written agreements and use images only for the Studio’s purposes.
7. Who we share information with
We share personal information only with providers who need it to deliver our services, and only for that purpose:
| Provider | What it does | Where data may be stored |
|---|---|---|
| WellnessLiving Inc. | Registration, scheduling, memberships, payments, client app and the CAASI assistant | Ontario, Canada and Florida, USA |
| Nuvei | Processes card payments made through WellnessLiving | Nuvei’s own servers, which may be outside Canada |
| Google (Google Analytics, Google Fonts) | Measures website visits; delivers website fonts | United States |
| Trustindex | Displays our public Google reviews on the website | Trustindex’s own servers, which may be outside Canada |
| Yahoo Mail | Our Studio email inbox, where website form messages arrive | United States |
| Website hosting provider and developer | Host and maintain the website | May be outside Canada |
We also disclose information when the law requires it, to protect someone’s safety in an emergency, or with your consent. Competition organizers receive the student details needed for an entry only after the family has agreed to that entry.
Families book and manage classes in the WellnessLiving client app, which WellnessLiving provides under its own terms and privacy policy. Messages or offers that WellnessLiving shows inside its app are sent by WellnessLiving, not by the Studio.
Links to separate services, such as Elevé Dancewear for uniforms or a ticketing provider for concerts, take you to websites with their own privacy policies.
8. Information stored outside Canada
Some of our providers store or process information in the United States and other countries. While it is there, it may be accessible to the courts, law enforcement and national security authorities of that country. We remain responsible for the information we transfer to our providers.
9. CAASI, our automated assistant
CAASI is an automated, AI-powered assistant provided by WellnessLiving on our website and in the WellnessLiving client app. It is not a person. What you type may be processed and retained by WellnessLiving and its service providers under their applicable policies. If you ask us about access to or deletion of your chat records, we will review your request and, where necessary, refer it to WellnessLiving. Please do not share health or payment details in the chat. To reach a person, email balletstudioty@yahoo.com.
10. Website analytics and cookies
Our website uses:
- Google Analytics — counts visits and shows which pages are useful. It sets cookies (named “_ga”) and sends Google information about your device and the pages you view, including approximate location based on your IP address. We use it only to understand and improve our website, not for advertising. You can opt out with Google’s browser add-on at tools.google.com/dlpage/gaoptout.
- Trustindex — displays our Google reviews and may receive your IP address.
- Google Fonts — loads the website’s fonts and receives your IP address.
- WellnessLiving — loads the CAASI chat and booking features.
- WPForms — runs our inquiry form.
You can also block or delete cookies in your browser settings. The website will still work without analytics cookies.
11. Marketing messages
We send promotional emails through WellnessLiving only to people who have agreed to receive them, or where Canada’s Anti-Spam Legislation otherwise allows it — for example, for a limited time after a purchase or an inquiry. Every promotional email identifies the Studio, includes our mailing address and an unsubscribe link, and we act on unsubscribe requests within 10 business days. Messages about classes you have booked are not promotional.
12. How long we keep information
We retain personal information for as long as reasonably necessary for the purposes for which it was collected, including managing inquiries, student enrollment, instruction and attendance, and meeting applicable legal, financial, safety and recordkeeping obligations.
Inquiry and student records may remain in our Studio systems and in WellnessLiving after a student stops attending. We review retention practices and take reasonable steps to delete, anonymize or otherwise manage information when it is no longer needed, subject to applicable requirements and the capabilities of our service providers.
Financial and tax records are retained as required by law. Photos and videos are handled in accordance with the permissions described in section 6. CAASI chat records are managed under WellnessLiving's applicable retention practices; we review requests about these records and refer them to WellnessLiving where needed.
13. How we protect information
We limit access to the Studio’s founders and the people who need it for their work, and we use password-protected accounts with established providers. No system is perfectly secure. If a breach creates a real risk of significant harm, we will notify the people affected and the Office of the Privacy Commissioner of Canada, as the law requires.
14. Your rights
You may ask to see the personal information we hold about you or your child, ask us to correct it, or withdraw a consent you gave — for example, for marketing or photos — subject to legal or contractual limits. We may need to confirm your identity and, for a child, your parental authority. We respond within 30 days and will tell you if we need more time. If you are not satisfied with our answer, you may contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.
15. Changes to this policy
We will post any update on this page with a new date. If a change significantly affects how we use information you already gave us, we will tell registered families directly.
